Organising productive meetings
Organised meetings are vital as people get very bored when meetings are long and
achieve very little. Here is a list of things that should happen to get a good
meeting.
- There should be a clear time for the meeting. Meetings should be
as short as possible.
- Prompt starts.
- Clear agendas. Agendas should be circulated with enough time to add
points. This indicates that people are welcome to include points and
are party to the agenda of the meeting.
- There should be a chair for the meeting whose main task is to summarise
each point and ensure an action plan is clearly stated with the appropriate
person or team allocated to that action.
- Efforts to reach conculsions via consensus. However if there are
contentions, parties should meet at another time to find a solution and report
back to the next meeting. Bringing conflict into meetings unless a focus
of part of the agenda should be done prior to the meeting.
- No interuptions. Meetings should have no interuptions.
- Quick follow up. Minutes should be followed up within 24 hours with
clear action points and dates and names next to the action points of expected
resolutions.
Note:
Good meetings do not happen by chance!
